PROCESS & Procedures

Policies and procedures provide a guide for meeting organizational objectives and describe the steps that employees are to take with each duty.

This ensures consistency and helps to maintain quality.  A policy will set the expectation for employment outcomes and the procedure outlines the steps for it.

PROCESS CONSISTENCY
When procedures are followed, there is consistency in practice for work processes. This helps to ensure that things are done the same way, every time and that all steps are followed. When steps get skipped it creates an inconsistent process that then creates variations in product or service quality.

 

How do I request marketing material to be printed? Such includes apparel, gifts, printed material or promotional pieces.

Creative Request Guidelines The creative request process begins when the request is submitted online. If appropriate, please send emails with supporting information in addition to your creative request to the Communications Director as well.

Creative requests must include all information in final form (specific dates, locations, times of events, etc…). The information included in the creative request is what will be included in the final product. Please do not provide “dummy text” or non-final verbiage when submitting your request.

To be placed on the tentative Calendar: As soon as you know that you will be considering holding an event or requesting graphics you can, however, submit a request to be added to the tentative calendar. This can be done any time frame prior to the event or date, and the sooner the better. This helps us know when making plans for the year to have a general idea of what each ministry might be planing for each month.

When submitting a request that requires printing by an outside vendor (banners, stickers, t-shirts, promotional items, etc..), please make sure that budgetary constraints have been addressed. Knowing the printing budget will often inform the design, how it is prepared, which vendors are most appropriate, and how the work is setup for delivery to the vendor.

The Communications Director will handle all ordering for work to be printed by outside vendors. Please have your PO approved to ensure a timely turnaround for your project. Please do not bypass the creative request process by creating your own assets.

The creative request process is a tool that sets the foundation for consistently excellent creative work. We ask that you respect the process and timelines set forth below. Please allow enough time in planning to address the submission guidelines that follow. All graphics used for parties larger than 40+ people also must be visually approved by the  Communications Director before print please make sure to take this into consideration when planning your projects. Any apparel, permanent signage lanyards or large purchased material will always need approval visually by the Communications Director. All requests must be submitted through our Graphics Request Form within the following timelines:

– In-House Printed Graphic Projects: Postcards, flyers, slides, booklets, handout cards, temporary signage, etc… Requests must be submitted a minimum of two weeks (14 days) before they are needed.

– Vendor Printing Graphic Projects: Vinyl Banners, T-Shirts, Stickers, Promotional Items, etc.. In addition to the two week submission guidelines, printing will require an extra week. Therefore, please allow three – 4 weeks (21 days) to your delivery date from the time of submission.

– Large Scale Projects Ministry Branding, Retreat Branding, Major Event Branding, etc… We require eight to twelve weeks notice to begin developing overall visual themes for large events and ministry rebranding efforts. Inclusion in your team’s creative planning for new ministries, events, and series is vital. Please allow enough time in your planning process for a “creative audit” where we can help discover the various creative needs of your project. This will create a more efficient workflow for your major project while minimizing the impact of overlooked pieces.)

 

How do I get something "Designed" for our ministry or department?

Though we do have some avenues of design in-house at our Ridgecrest Campus, some of our material is going to be outsourced till our team grows. At RCA Church we still have a process to achieving graphics for all departments while still keeping within our Brand and Guidelines.  ANY material to be designed for use here through  RCA, unless it is a marketing piece used for groups smaller then 25 attendees, or from a pre-purchased program such as the RCA Kids Material as an example, you will need to submit a Graphic Design Request Form or contact the Communications Director for direction prior to contacting a designer. This helps ensure either your project is something that should be designed in-house, or given an approval of the designer that is chosen and branding checklist they will need to abide by to accommodate our brand. The final draft that is produced by these designers will also need to be approved by the Creative Director before Finished.

How to I fill & submit my time card?

1. Time cards are to be submitted bi-weekly through the Time Sheet page.

2. Enter your Name 

3. Enter your Email

4. Enter the First date of the time period you are submitting. This will always be a Monday.

5. Enter the final date of the two week period you worked. For consistency, this should be a Sunday. (since everyone work days are different our work week officially starts on Mondays and end on Sundays.

6. When filling in what time you clocked in please write it as followed: 5am or 5pm

7. When filling in what time you clocked out please write it as followed: 5am or 5pm

8. When inputting your lunch or break time, calculate how much time between your clock in and clock out time was used for a break and then place the total hours here. This entry should only but a # no am/pm needed. When Inputting time round to the nearest half hour. Ex 10 hours and 20 minutes for the day should be depicted as 10.5 with rounding up to 10:30.

9. Repeat the process for the second week.

10. Your total amount of hours for the two weeks will then be presented.

11. Time cards are due for collection before ??? at ??? the week of payday.

12. Once submitted your time card will be automatically emailed to the following Info@rcachurch.com  & bookkeeping@rcachurch.com

How do I request Time off?

Time Off Request Process:

Leave needs to be submitted 2 weeks prior then the date desired to be off. If something comes up sooner then that time frame please just send an email to Info@rcachurch.com after the leave form has been submitted to check for a faster response. Please note any leave taken on a major holiday, or RCA event time frame may need extra attention as we have to plan around to make sure all of our staff isn’t gone during these times.

  1. Open up the Time Off Request located on the Forms page: FORMS PAGE
  2. Input your name
  3. The start date of your requested leave
  4. The end date of your requested leave
  5. Select the reason for leaving
  6. Input a brief description of what the leave is for

Once submitted you should hear back from the office within 2-3 business days that your request was received and informed if there were any issues with the request.

Creating a RCA Church Ministry Action Plan
Why do I need to do a Ministry Action Plan:
Develop & implement well-designed planned action steps to organize and carry out your ministry responsibilities and activities. This will serve as your guide for your ministry and team for this year and the future.
Evaluate your ministry to determine its current strengths and weaknesses. Identifying ministry events and activities that are essential for the future success and effectiveness of your ministry.
Define the specific purpose of your ministry and be confident how it aligns with the overall mission and vision of RCA Church.

 

Priority of Planning your Ministry Action Steps:
Don’t underestimate the benefits of a well prepared, thought out and prayed for plan.
The greater your efforts in the planning stage the more effective your ministry and the greater the results.
Whether you are playing sports, flying a plane, constructing a building or taking a trip you need a plan for where you are going or what you want to accomplish.
God is very strategic. He was strategic at creation, in building of the Old Testament tabernacle, in how the nation of Israel would conquer the Promised Land and in the coming of a Jesus.

 

Where do I start?
List wins within your ministry for 2017 such as salvations, baptisms, new ministries, new team members, volunteer-base growth, etc.
Assess how your ministry excelled or otherwise. Where is there room for improvement? Is it time to do away with specific things within your ministry? Focus on what you do best. How can you make a mark in your area and RCA Church that never would have happened if it were not for you?
Come prepared to the meeting with Todd & Kymberly Black to discuss your goals for this year and set an action plan. What must you improve/learn/experience in order to attain these goals? What resources and accountability will you need? What are the roadblocks keeping you fro achieving your goals? What is your timeline for achieving each goal?
Review RCA Church long-term vision. Where do you see your ministry in 3 years? Are you on track? What do you need to adjust in your ministry or priorities to stay on track with RCA’s mission and vision?

Include a personal growth plan. Are you working toward any type of certification? Are there conferences or coaching opportunities you would benefit from? What books do you plan to read? Please complete the personal growth plan attached.
